Please be aware by booking & swimming with us on your first lesson you are agreeing to our terms and conditions. Any updates will be emailed to you and notification and acceptance will be stored on your parent portal. Please make us aware of any photo preferences and medical conditions of both child and parent swimming with us by completing the medical form sent after initial booking. Please remind the teacher as necessary and if any changes occur for both adult & child and complete a new medical form.

Cancelation, Refunds & Changes
As time progresses you may find your class size reducing (as parents return to work etc). Once a class has become too small to function properly we may need to merge it with another. We do our best to keep class times / levels as similar as possible but unfortunately cannot always guarantee this.
​Should you need to swap pools we will do our utmost to accommodate you when we are successfully running more pools, but unfortunately cannot guarantee it. This is only possible if and when we are running more locations.
Please note that you will need to have completed your current course before moving pools if this is your wish.
Payment must be received prior to the course starting, payment is via BACS with the information on your invoice. This must be received no later than 24 hours from booking. Otherwise your course space could be cancelled or a late fee of £12 will be charged.

No cash or cheque payments will be accepted.
​
Direct Bookers can be arranged to ensure you have a swim space each term, payments for this will be taken monthly to cover your swim period. If you do not wish to swim on the next month we need notifying in writing a month before ending your contract. This allows the office enough time to ensure all lessons have been paid for or outstanding fee's are collected.
​

Rainbow Aquatics is under no obligation to refund your money however we will look at each individual case.
If refunds are processed:
* 10 days or more before the course - 90% refund,
* 7 days - 10 days 50% refund;
* Less than 7 days - No Refund

Private bookings / lessons are Non-Refundable or transferable
​
If we will issue a refund due to your request it will be minus a £10 administration charge.
​
We regret we are not always able to offer an alternative for missed lessons. Unfortunately, what may seem like a simple request is a large administrative task which can have a detrimental effect on other courses.
In the instance that a pool cannot be used in the short term (teacher sickness/extreme weather/pool temporary closure), we will endeavor, where possible, to re-schedule your lesson. In this instance Rainbow Aquatics is not responsible for any travel expenses incurred. In the event of us having to cancel a lesson we will try to offer a catch up lesson in the following course or a course credit on the following course(s) booking. Refunds are not available as an alternative session or credit will be made available.

Where a pool is not available on a longer term (in excess of three weeks), on a public health or other grounds out of our control, then we cannot be responsible for providing any further lessons to you during this time. If this occurs and in the event it is not possible to re-schedule classes elsewhere we will use best endeavor to either refund the unused balance of your course fees or recompense you in services or credits in a future course(s).

Except in exceptional circumstances (which Rainbow Aquatics will determine at its sole discretion) whether you are a first time customer or an existing customer, we regret that , once the course has commenced, we cannot issue refunds or credits.
Photography
Whilst the family atmosphere we encourage means that parents, grandparents and friends should feel very comfortable taking photographs or video footage, we would ask that everyone remains sensitive to the feelings of others and always stop filming should they be asked to do so.
We ask for photos shared on a social media platform to only have your child in or to seek the other parents permission first. Please do tag Rainbow Aquatics on your photo's & videos as we love to see them!
We must also adhere to pool rules at individual venues, some of which do not permit the use of such equipment. If this is the case with your pool, we will have informed you separately and ask that you respect their policy. In all instances the decision of Rainbow Aquatics’ staff is final.

No underwater cameras, or underwater recording equipment of any description may be used during an Rainbow Aquatics lesson. Especially during our photo shoot events. If this occurs and you refuse to stop when asked, not only will the police be contacted due to safeguarding you will be asked to leave immediately and removed from the course at your own expense.
​Rainbow Aquatics expressly forbids the right to reproduce any part of our lessons in any form (e.g. on the internet, DVDs, photographs etc). Anyone suspected of continually filming or photographing the lessons for any purpose of publication will be asked to stop filming and leave the course without being reimbursed.
​All Rainbow Aquatics photography, logos and illustrations are copyright of Rainbow Aquatics. Trademark UK00003481577. Any scanning or reproduction of any of the above without our written agreement will be regarded as being in breach of our copyright and dealt with accordingly.
​Rainbow Aquatics reserves the right to use both our photographs and underwater photographs for publicity purposes. However, in each instance we will endeavor to inform you first. Please do make sure your photo policy paperwork reflects your wishes.
​Rainbow Aquatics cannot be held liable for the actions of third parties, and, therefore excludes to the fullest extent possible by law, any liability arising from a breach of this section headed “video and photography” by any party.

Changing Rooms
All property in changing rooms or on poolside is left at your own risk.
Rainbow Aquatics cannot accept any responsibility for the loss or damage of any personal possessions.
Please remove all jewellery (except wedding rings) before entering the water. Full showers should be taken by all swimmers prior entering any pool to remove excess oils etc and to allow the chlorine in pools to effectively work on germs and diseases. Please do not use the pool whilst chewing gum or similar as the choking risk is extremely high.

Illness
Should your child or the adult taking your child into the water have, or develop, any known or suspected medical condition you must please:

Inform Rainbow Aquatics office in writing via email. All information received is treated in confidence and with sensitivity,

Never bring your child swimming if they have any illness such as ear infection, diarrhoea, chicken pox (All scabs must have gone before returning), impetigo, conjunctivitis. This is NOT an extensive list. Contact us if you are unsure, we have a great PDF that is linked on our social media pages or can be emailed to you for reference.

Please wait until your doctor has given the all clear before returning to classes. Please do double check with the office.

In the instance of sickness and diarrhoea you or your child must have been clear of all symptoms for at least 48 hours before attending a lesson.

In the instance of COVID-19, please follow the current NHS guidelines and inform the office at your earliest convenience.

Please note a teacher will never want to turn you or a child away at the poolside HOWEVER they will and must if they have ANY concerns. This is a duty of care to not only you but other swimmers and themselves.
​
Swimwear
If you little one has not been successfully potty trained for a minimum of 6 weeks then re-usable / disposable swim nappies should always be worn, they need to be snug fitting around the waist and legs. We require an extra swim nappy to be worn on top of the swim nappy, these are known as nappy covers.
Always change your baby on the floor using a suitable changing mat. Do not use any raised areas such as benches, trolleys or tables. This is to prevent babies from rolling onto the floor from high surfaces which can easily happen and is extremely distressing for all concerned.

Please take all your used nappies away with you. Never leave nappies in an open / unlocked bin (including those within the venue grounds).
As a family run business we will always try to have our spares bag with us to help with any forgotten items.

Adults are welcomed to wear anything that they are comfortable in for swimming sessions.

Pool Etiquette
Rainbow Aquatics may, at its own discretion, refuse entry to any client if it is felt that the client’s behaviour is unreasonable.
No outer footwear or prams should be taken onto poolside or into changing rooms. Please use blue overshoes (if available) or go barefoot if you prefer.
Please always endeavour to shower both yourself and your child before and entering the water. Removing body lotions, perfumes etc. before swimming contributes significantly to maintain water quality. Do not enter the pool whilst chewing gum or similar.
Whilst you are waiting for your class, please keep poolside noise down to a minimum so that all lessons can take place in a calm and peaceful atmosphere. Please do not arrive to poolside more than 5 minutes before your lesson.
Do not enter the pool until the current class has finished; please always wait to be invited to do so by your teacher.
You are responsible for the safe supervision of any children you bring at all times: on poolside, in the changing rooms and on the pool premises. They should always be under direct supervision of an adult who is not taking part in the lesson and never be left unattended. Children running on wet surfaces can very easily slip and hurt themselves. Rainbow Aquatics reserve the right to ask anyone to leave the poolside at any time.​
Unfortunately we can only accommodate one adult in the pool at a time with each child. However, we are happy for other members of your family, friends or child minders to bring your child to classes. Anyone new to the class must let the instructor know at the beginning of the session, so that they can provide the extra help and advice that will be needed.
Data Policies
Whilst it is our policy that we endeavor to ensure you always have the same teacher, we cannot guarantee this as teachers fall ill, leave etc.
Also, due to our training, we may occasionally need to have a new instructor teaching your class. They are always fully trained at this point, but need to teach a series of ‘live classes’ in order to complete the assessment process. Unfortunately we may not be able to give you advanced warning when this may happen and, whilst we always try to limit it, it is a necessary part of our commitment to quality. Serious medical information will be shared with the covering teacher as well as students names but no other details.

In the absence of any proven negligence, lack of due diligence or breach of duty by the instructor(s); Rainbow Aquatics employees, the participation of you; your spouse/partner; child or those whose care you have placed your child for the purpose of attending or observing Rainbow Aquatics swimming sessions is done so entirely at your and their risk.
From time to time we may update these terms, by sending you either an updated version or notification of minor changes. You are free not to accept these changes but we would ask you to notify us in writing of your non acceptance within 14 days of your receipt failing which we will be entitled to treat our agreement with you as being subject to the updated version.
Rainbow Aquatics are committed to protecting your privacy. We will only use the information that we collect from you lawfully in accordance with the Data Protection Act 1988. We follow the strict guidelines in accordance with GDPR and at anytime you can request your data for viewing or to be removed.
We receive, collect and store any information you enter on our website or provide us in any other way. In addition, login; e-mail address; password; computer and connection information and purchase history. We may use software tools to measure and collect session information, including page response times, length of visits to certain pages, page interaction information. We also collect personally identifiable information (including name, email, password, communications); comments, feedback, product reviews, recommendations, and personal profile.

It is vital that you inform us of any medical condition(s) that you, your child or the carer responsible for taking your child swimming may have that might affect your time in the pool. This includes eye sight / hearing changes. The smallest thing could have a large link within the pool so please do keep us in the loop. All information received is treated sensitivity and in confidence. On booking, you are also agreeing to take responsibility for the fact that anyone who brings your child swimming who has an illness, injury etc. will, if necessary, have taken medical advice before coming. Please ensure that they also give the teacher any necessary information on the day.
All people bringing children swimming with Rainbow Aquatics take ultimate responsibility for their own child’s medical/health issues and will be deemed by Rainbow Aquatics to have taken all necessary advice and obtained the appropriate authority, informing Rainbow Aquatics of an adult or child’s medical condition does not relinquish this responsibility. We ask for a medical form for the child and main adult swimmer to be completed and updated yearly or more frequently if there are changes to either party. Please use the links below to complete a new medical form as required, failure to comply may result in entry to the pool being refused.
Shop Returns

Items bought directly from Rainbow Aquatics (swimming essentials held in stock) are only returnable if completely unused and still in the same unopened packaging. Any items personalised or bought directly for you will not be refundable or exchangeable; this does not effect your statutory rights. Swim Nappy covers can be exchanged for the correct size at the START of the lesson, once worn in the water they are not exchangeable in size if purchased brand new. Swim nappy covers that are rented from Rainbow Aquatics can be exchanged at any point for the correct size, the initial rental cost is non-refundable. The nappy cover deposit will be refunded to you after the nappy cover is returned and is still in a usable condition.

Items bought through our website but from independent sellers or recommended retailers will be subject to their own return policies. Rainbow Aquatics takes no responsibility for these items purchased, we however do care about your experience when these retailers. If you have a negative experience please do let us know, we will take all comments onboard and this may result in a cease in working relationships with other retailers if we have multiple complaints.
